About Recording Trust Payment
Recording a trust payment means you are recording funds deposited into a trust account that you will use to facilitate payment transactions between you and your client.
Payment is derived from your client by multiple methods, including but not limited to cash, EFT, Bank Draft, Cheque, Cowry, Barter, just to name a few.
You can only record trust payment for Matters that are created as Trust.
Funds deposited into the trust account could be sourced from:
Trust payment transfer from another Client’s Trust Account, or
Payment of funds into the account from your client
How to Record Trust Payment
Step 1
To record a trust payment, go to:
Clients & Matters sidebar menu > Matters tab > find the Matter’s Name > Actions menu > Record Trust Payment > on the Record Trust Payment screen.
Step 2
On the Record Trust Payment screen, select the Client and Matter for which you want to record a trust payment > select and/or enter all other required information.
Note: Only clients who already have Trust Matter created will have a Trust Matter available for selection. You are able to create a new trust matter for a Client if one is not available for selection.
If you select “Cash” as your payment type: your “electronic signature” is required.
When you “Save & Send Notification” the Client will receive a “Cash Receipt” email that requires their approval and “ signature.”
You will also receive an email in your personal email inbox with a copy of the Cash Receipt.
Once the client has signed and approved the Cash Receipt via email, the client will receive a second email with the updated Cash Receipt that includes both signatures.
How to View a Recorded Trust Payment
Go to:
Clients & Matters sidebar menu > Matters tab > find the Trust Matter’s Name > Actions menu > Record Trust Payment > on the Record Trust Payment screen, you can “view” all the recorded payments.
How to Update or Delete a Recorded Trust Payment
Go to:
Clients & Matters sidebar menu > Matters tab > find the Trust Matter’s Name > Actions menu > Record Trust Payment > on the Record Trust Payment screen, find the record trust payment transaction > action menu > update or delete.
Trust Payment and Bank Transaction Confirmation
When you record a trust payment, it will be available under the Bank Transactions sidebar menu > Bank Transaction Confirmation sub-menu > Trust Receipt Tab with a “Pending” status, requiring you to confirm the deposit if this was not done when you were recording the trust payment.
To Confirm the Deposit, click the Pending button > on the Confirm Deposit pop-up window, check the box the reads "tick if the funds have been deposited in the account” > select the account the funds to be deposited into > check the checkbox that reads " tick if the transaction is reflected in the bank account.”
Helpful Tips: You will have to setup the account number prior to using this feature, and ensure you select your Trust Account and not your General Account.
The Trust Receipt status will change from “Pending” to “Transaction Confirmed” only if you checked that “the transaction is reflected in the bank account.”

Trust Account Deposit Slip: Note: If the Trust Receipt status is “Pending” the transaction is not reflected in Trust Account Deposit Slip Report.

Trust Bank Reconciliation Report
All transactions against a trust account is provided in a "trust payment record" report. This shows all funds deposited into the trust account as well as all funds withdrawn from the account.
Funds Withdrawn From Trust Account
Funds withdrawn from a client’s trust account can take place for the following reasons:
Invoice payment and
Funds transferred from a client’s trust account to another client’s trust account. In the case of any withdrawals, you will notice a negative dollar amount provided in the trust payment record.
Trust Payment & Trust Transfer
When a trust transfer is performed, it is also automatically recorded as a Trust Transfer for the FROM trust account and a Trust Payment for the TO trust account.
